2. What this notice covers

This notice explains how we handle personal information received through medvoyagechina.com, email, WhatsApp and subsequent patient coordination communications. The Website V1 inquiry form prepares a message on your device; it does not upload the form contents to a MedVoyage database. Email, WhatsApp and any healthcare institution you choose to approach have their own privacy practices and responsibilities.

  • Country, language, timing and travel preferences
  • Your description of a healthcare need
  • Medical records or health information you later choose to provide
  • Communications, coordination records and consent choices
  • Basic website security and usage information when analytics are enabled

4. Why and on what basis we use information

We use information to respond to inquiries, take requested steps toward providing coordination services, communicate with you, identify institutions for consideration, arrange non-clinical services, maintain necessary service and security records, comply with applicable obligations and improve Website V1. Depending on the circumstances and applicable law, processing may be based on your consent, steps necessary to provide a service you requested, legal obligations or another permitted basis. We do not use submitted medical information to make clinical decisions.

5. Sensitive health information

Medical and health information is sensitive personal information and receives particular protection. We process it only for a specific and necessary purpose and with appropriate safeguards. Where consent is the applicable basis, we seek separate informed consent as required. In the first inquiry, provide only what is reasonably necessary.

6. When information may be shared

Depending on your instructions and the service requested, information may be shared with a selected healthcare institution, interpreter, travel or accommodation provider, technology provider, professional adviser or authority where legally required. Before identifiable health information is sent to a selected institution or another independent recipient, we will explain the recipient, purpose and information involved and seek the instruction or consent required for that sharing. Each recipient should receive only what is reasonably necessary for its role.

7. Cross-border information transfers

International patient coordination may involve information moving between your country and China or being processed by communication and technology providers in other locations. Where Chinese law requires a separate consent or another transfer mechanism, we will provide the required information about the overseas recipient and transfer and complete the applicable compliance step before that transfer. The precise arrangement depends on the recipient, system and purpose involved.

8. Retention and security

We retain information only as long as reasonably necessary for the coordination purpose, records, dispute prevention and legal obligations. We use reasonable administrative and technical safeguards, but email, messaging and internet transmission cannot be guaranteed completely secure.

9. Your choices and rights

Subject to applicable law, you may ask to access, correct or delete information, withdraw a consent, object to certain processing or ask how information has been used. Some records may need to be retained for legal or legitimate business reasons.

10. Children

A parent or lawful guardian should contact us and manage communications for a patient who cannot legally provide the required instructions or consent.

11. Cookies and analytics

Website V1 may use essential technologies required for security and operation. If non-essential analytics or marketing technologies are introduced, this notice and any required consent controls will be updated before activation. Names, contact details, medical descriptions and record filenames must not be sent to analytics.
